This chapter describes Management → Tools: data imports, previews, and Solution options — the configuration hub that replaces many legacy “options” screens. It is intended for authorised managers and administrators who have been trained on data governance.

Solution options is a tabbed hub of locale-scoped and global configuration tables: people and access, clinical and governance, operations and resources, communications, and registers and system. It aligns with legacy Business Manager options screens so that rostering, clinical, and reporting stay consistent.
Wiki — full setup flow: For a recommended setup order and plain-language pages for each tab group, open Solution options — manager setup hub in this wiki.
The locale shown on locale-scoped tabs is taken from your signed-in personnel record, not from a value you type into the browser address bar. Saves are server-validated so rows cannot be pointed at another region by tampering with the client.
Deep-linking: The URL can include group and tab query parameters, for example:
/manager/solution-options?group=clinical&tab=clinical-documents
Groups include (examples): people, clinical, operations, integrations, registers. Tabs within clinical include clinical services, clinical records, clinical handover, clinical documents, scope of practice, early warning score, safeguarding, operational governance, statement follow-up, and others as released.
Deep link (example): /manager/solution-options?group=clinical&tab=clinical-documents
Navigation: Solution options → pill group Clinical & governance → tab Clinical documents.
/my-certificates).When a user tries to book an available shift, the portal checks whether they still have mandatory clinical or governance documents missing according to the MissingRecords logic in the database. If mandatory items are missing, booking is blocked with a message about compliance documents or certificates.
Narrow exception: If the only open row for a requirement is flagged in a way that maps to “Due soon” rather than fully missing in that view, booking might still be allowed in edge cases. Operationally, treat due soon as urgent and renew immediately.
Staff clear missing items by uploading valid evidence on Certificates with correct expiry dates where required.
| Column | Meaning |
|---|---|
| ID | Internal type identifier; personnel uploads reference this as Doc type. |
| Name | Display name shown to staff and managers. |
| Grade | If set, limits the requirement to that clinical grade; blank usually means all grades in locale. |
| Driver | Marks driver-related types (also affects sort order in some recruitment lists). |
| Gov | Governance flag for the type. |
| Non-exp | Non-expiring type — expiry capture may differ for staff uploads. |
| Field | Meaning | Guidance |
|---|---|---|
| Name | Certificate or document title. | Required. Clear, stable names — used in compliance lists. |
| Grade | Clinical grade filter. | Blank = applies to every grade unless your DB view logic says otherwise; set only when one grade needs this extra doc. Must match personnel clinical grade text exactly. |
| Relationship | Employment type filter (employee, contractor, etc.). | Blank = all; set only for relationship-specific requirements. Must match personnel Relationship text. |
| Driver | Driver-related emphasis. | Tick for driving compliance certs. |
| Governance | Governance classification. | Tick for policy / governance certs where you need the flag. |
| Non-expiring | No normal expiry cycle. | Rare — only when no expiry should be collected. |
| Date active / Date inactive | Validity window for the definition itself. | Outside the window, the type may be ignored where “currently active definitions” are queried (for example recruitment document name lists). |
Your organisation’s enabled tabs may include:
| Area | Examples of what is configured |
|---|---|
| People & access | Identity review, recruitment questions, PADR templates. |
| Clinical & governance | Clinical services pricing, clinical records options, handover settings, clinical documents, scope of practice, early warning score, safeguarding, incident governance, statement reminders. |
| Operations & resources | Event locations, ambulance billing, uniform catalogue, cleaning locations. |
| Communications | Email templates, operational emails for timesheets and acknowledgements. |
| Registers & system | External registers, system dates, scheduled reminders, advanced option records, secrets (restricted). |
Training note: Only named administrators should edit secrets or integration keys.
