Who this is for
Managers and administrators who configure how the portal behaves for each region (called a locale in the system).
Where in the portal: Management → Solution options (manager or administrator access).
| What you are configuring | Where in Solution options |
|---|---|
| Who can book open shifts, applications, grades, drivers | Operations & resources → Shift self-booking and Open shift eligibility |
| Which certificates block shift booking | Clinical & governance → Clinical documents |
| Event / deployment place names | Operations & resources → Event locations |
| UK checks (DBS, DVLA), MOT API | Registers & system → External registers |
| Named calendar dates | Registers & system → System dates |
| Recruitment referee questions | People & access → Recruitment |
| Identity / account issues (admins) | People & access → Identity review |
Follow this order when onboarding a new locale or doing a controlled refresh. You can skip steps your organisation does not use.
| Step | Do this first | Why |
|---|---|---|
| 1 | Clinical & governance — especially Clinical documents | Document rules drive compliance and open-shift booking blocks. |
| 2 | People & access — Recruitment (referee questions) | Aligns reference wording with HR before go-live. |
| 3 | Operations & resources — Event locations | Clean locations reduce duplicate roster rows and invoice confusion. |
| 4 | Same group — Shift self-booking then Open shift eligibility | Workflow (apply vs book) must match how you want Available shifts to behave. |
| 5 | Same group — Shift incident alerts (if used) | Ensures the right people are emailed when shift-linked incidents are raised. |
| 6 | Communications — email templates and operational emails | Consistent wording before you announce self-booking or timesheet mail. |
| 7 | Registers & system — External registers, System dates | Automation and calendar logic depend on policy sign-off. |
| 8 | Registers & system — Scheduled reminders (review) | Know what recurring jobs exist; use “Run now” only with support if offered. |
| 9 | Advanced option records / Secrets | Only when your implementer or IT gives written instructions — treat as expert screens. |
| 10 | Tailoring and related guides | Pilot changes, document roster exceptions, cross-check grades and document names. |
