| Event locations | The directory of locations used when planning events or deployments (names, teams, whether they are vehicle bases, whether they appear on rosters, licence / purchase order hints, and so on). Keeping this tidy helps rostering and reporting stay consistent. |
| Ambulance billing | Options used where ambulance billing integrations or rules apply for the locale. |
| Uniform | Your uniform catalogue for the locale (what can be ordered or tracked). |
| Cleaning locations | Shared list of cleaning / hygiene test locations used in asset and vehicle hygiene workflows. |
| Shift self-booking | How staff get onto open shifts: either book immediately or apply first and wait for a manager. You can turn on emails to the office when an application arrives, and emails to the applicant when you approve or decline. |
| Open shift eligibility | Rules applied when someone books or applies: clinical grade vs duty type, driver privilege vs shift wording, and whether the available shift list hides shifts they cannot book. Detailed explanation follows in this article. |
| Shift incident alerts | Who gets notified by email when certain shift-linked incidents are raised (so the right duty manager hears about it). |
Open shifts are duties that still need someone assigned. Staff see them on Available shifts (if your organisation uses self-booking).
There are two screens that work together:
| Setting | What it means for staff |

| Require application before assigning open shifts | When on, staff press Apply; a manager approves or declines on the pending applications queue. When off, staff Book immediately (subject to rules and compliance checks). |
| Email when an application is received | Sends to the addresses you list (commas, semicolons, or new lines). |
| Email the applicant when approved / rejected | Uses the work email on the person’s profile. |

| Show all open shifts | Every open duty is listed. The system still stops them at booking time if they do not pass your rules. |
| Hide shifts they cannot book | The list only shows duties they are allowed to book, based on grade and driver rules. |
| Disable self-booking | No open duties are offered for self-service; managers assign people in the normal rostering screens. |
When Enforce clinical grade rules is on:
If someone has no clinical grade on their profile, booking can be blocked when a rule matches.
Per-shift override (clinical): On the clinical roster grid, each shift can have “SB clinical”. If set to No, that single duty ignores clinical grade rules even when the locale switch is on. Use sparingly for genuine exceptions.
When Enforce driver privilege when shift designation matches is on:
Per-shift override (driver): “SB driver” on the shift row can turn off driver checks for that duty only.
Practical tip
For driver rules to work, rostering staff must fill in Designation on shifts that truly require a driver. An empty designation will not trigger the driver check.
