| Tab | Purpose in everyday terms |
|---|---|
| External registers | Switches and credentials for automated checks: UK DBS Update Service, DVLA driver data, and DVSA MOT history (vehicle MOT lookup). Turning automation on does not replace your governance — it controls whether the system is allowed to run scheduled checks. Sensitive keys are stored here per tenant where offered; your technical team may still maintain base settings in the hosting environment. |
| System dates | Named dates on the calendar your organisation uses in reports and logic (public holidays, financial year boundaries, campaign dates, etc.). Each row has a name and a date. |
| Scheduled reminders | Overview of recurring reminder jobs (what they do, how often, run now for testing). Heavy diagnostics remain with technical staff and the job dashboard. |
| Advanced option records | Direct access to raw option rows in the database for your locale — for advanced changes. Prefer the structured tabs when they exist; use this only when your implementer or support team instruct you. |
| Secrets & API keys | Licences and API keys stored in the database so the live site can connect to external services. Entries may be whole-system or just your locale. Treat this screen like a safe: only trusted administrators. |
This area is about connections to national or third-party registers, not about editing a person’s DBS or licence by hand (that still happens in personnel and recruitment screens).
Always align automation switches with your legal and IG paperwork.
Create named dates your reports and business logic refer to (for example financial year start, campaign launch). Each entry is a label plus a calendar date.
View recurring reminder jobs, see short descriptions, and use Run now for supervised testing. Day-to-day monitoring of success/failure may sit with technical staff.
Low-level database options for experts. Prefer structured tabs; use this when support gives exact instructions.
Store keys and licences needed for cloud integrations. Some values apply everywhere; some only to your locale. Never share screen shots of filled secrets outside your trusted admin group.
